Congratulations — you’re engaged! This season is filled with excitement, emotion, and big dreams. It can also feel overwhelming when you’re suddenly faced with endless decisions and opinions. At HEI Events, we believe wedding planning should feel intentional, grounded, and aligned with what truly matters to you — not rushed or chaotic.

This step-by-step guide is designed to help you move forward with confidence, clarity, and joy — including understanding the marriage license process in Chicago and the early planning steps that set you up for success.

1. Pause, Celebrate & Soak It In 🎉

Before diving into planning, take a moment to simply enjoy being engaged. Celebrate together, call your loved ones, and be present in this milestone.

✨ At HEI Events, we always encourage couples to honor this season — planning doesn’t have to start the minute you say “yes.”

2. Create a Joint Wedding Email 💌

Set up a shared email account just for wedding planning (example: yournameswedding@gmail.com).

This helps you:

• Keep vendor communication organized

• Share access to contracts and documents

• Reduce mental clutter

✨ This is one of the first organizational tools we recommend to our couples to keep planning calm and streamlined.

3. Create a Wedding Planning Account (Zola, The Knot, etc.) 💻

Create an account on a platform like Zola, The Knot, or WeddingWire. Even without finalized details, these platforms serve as a helpful planning hub.

You can:

• Start a preliminary guest list

• Explore venues and vendors

• Track early budget estimates

• Build your wedding website and registry when ready

✨ Each platform offers similar core features—it really comes down to which interface feels most intuitive and enjoyable for you to use.

4. Decide Your 3 Main Wedding Goals & Priorities ✨

Before booking anything, pause and define your three core wedding priorities. These priorities will guide every decision moving forward.

Examples include:

• Creating a meaningful guest experience

• Honoring cultural or family traditions

• Investing in photography and storytelling

• Keeping the day relaxed and stress-free

• Staying within a clear budget

Why this matters:

• Helps guide decisions when options feel overwhelming

• Creates healthy boundaries around expectations

• Keeps spending aligned with what truly matters

✨ At HEI Events, intentionality is at the heart of our planning process. Clear priorities allow us to design weddings that feel authentic, balanced, and aligned with your values.

5. Talk Vision, Style & the “Why” Behind It All 🤍

Once priorities are clear, it’s time to talk through your vision:

• Wedding style and atmosphere

• Guest count and experience

• What you want the day to feel like — not just look like

This is where many couples realize they need guidance — not just ideas.

✨ At HEI Events, we help our clients dig into the “why” behind their decisions. Why does a certain venue matter? Why is guest experience a priority? Understanding the why helps couples feel confident in their choices and eliminates second-guessing later.

6. Plan an Engagement Party 🥂

An engagement party is a meaningful way to celebrate with friends and family before planning fully ramps up.

Things to know:

• It can be hosted by you, family, or friends

• It can be casual or formal

• It typically happens within the first few months of engagement

✨ We often help couples determine timing, tone, and expectations so the celebration feels joyful — not like another obligation.

7. Set a Realistic Budget 💰

With priorities in mind, create a budget range that reflects what matters most to you. A thoughtful budget helps you avoid overspending in areas that don’t align with your goals.

✨ At HEI Events, we help couples build budgets that support their priorities — ensuring funds are intentionally allocated and expectations stay realistic. Don't spend on things just because it's the "norm", spend on what truly matters to you.

8. Marriage License in Chicago (Cook County): What You Need to Know 📝

Understanding the legal process early helps avoid last-minute stress.

Where to Apply:

Marriage licenses are issued by the Cook County Clerk’s Office. Both partners must apply in person together, though you can begin the application online.

What You’ll Need:

• Valid photo ID for both partners

• If previously married: date the prior marriage ended

• $60 marriage license fee

Timing & Validity:

• Issued the same day

• One-day waiting period

• Valid for 60 days

💡 We remind our couples to schedule this intentionally so it aligns seamlessly with their wedding timeline.

9. Send Save-the-Dates 📬

Once your date and venue are secured, send save-the-dates — especially if guests are traveling. These typically go out 4–6 months before the wedding.

✨ Guest experience is a major focus at HEI Events, and timely communication plays a key role in that.

10. Build Your Vendor Team 🤝

Begin booking your key vendors:

• Venue

• Planner or coordinator

• Photographer/Videographer

• Florist & design team

• DJ or band

✨ We curate vendor teams intentionally — prioritizing professionals who align with your vision, values, and priorities.

Final Thoughts

Wedding planning doesn’t have to feel overwhelming. With intentional priorities, thoughtful organization, meaningful celebrations, and a clear understanding of legal requirements, planning can feel grounded and empowering.

At HEI Events, we believe your wedding should reflect who you are — planned with purpose, care, and clarity every step of the way. 🤍
